Executive Secretary, Maternity Cover 9 Month

Sponsorship will not be available for this position, therefore 3 years on visa eligibility to work in UK is essential. Our client, a highly respected Bank, is seeking an Executive Secretary to join their team on a temporary basis to cover a Maternity cover assignment. The job of the Executive Secretary is firstly to support the CEO in their day-to-day tasks by providing secretarial and administrative assistance, and secondly to assist the Senor Leadership Team where required. The Executive Secretary ensures that the good image of Bank and its Senior Leadership is enhanced through efficient actions. The Executive Secretary is the backup of the Office Manager/Reception during the latter’s absence. Responsibilities (but not limited to): ? Implements KPIS and best practices for Secretarial duties ? Observes and promotes cost consciousness and efficiency, and enhance productivity, to minimize costs, avoid wastes, and optimize benefits for the bank. ? Assisting primarily the CEO in organizing their agenda, pointing out essential mails/requests, following up pending matters by measuring the degree of importance, the degree of priority, confidentiality and security. ? Supporting the CEO in their day to day tasks, organizing agenda, trips, having initiative for answering some mails/couriers or preparation of documents ? Preparing with the CEO documents to be submitted in time such as presentation material/graphics and business reports for reviews/meetings ? Maintain activities in accordance with Service Level Agreements (SLAs) with internal departments/ units to achieve improvements in turn-around time. ? Provide timely and accurate information to the external and internal Auditors, Compliance, Financial Control and Risk Functions as and when required. ? Handling incoming and outgoing correspondence ? opening and screening mail, typing and sending letters, faxes, memos and emails ? Arranging and diarizing appointments, meetings, lunches and business trips ? Managing complex diary management and organization of: internal and external meetings, including client meetings, senior management functions, and video/conferences calls ? Arranging regular global and complex travel itineraries ? flights, hotels, cars etc.; prepare materials and itinerary for those trips ? Comply with all applicable legal, regulatory and internal compliance requirements ? Ensuring high standards of data protection and confidentiality to safeguard commercially sensitive information. Maintaining utmost confidentiality with regards to customer and internal bank information obtained during the course of business -Minute taking Qualifications and Skills: ? Minimum of 2 years’ experience of secretarial work at a similar level, to must comer from a banking environment ? University graduate (Bachelor’s degree) preferably with a Major in Banking or Business Administration (related field of study) ? Good oral and written communication skills in English. French/ Arabic an advantage ? Familiarity with office suite ? Strong awareness of confidentiality required in Executive Secretary elements of the job ? Must have the ability to react swiftly to urgent tasks, whilst maintaining control of day-to-day activities ? Must be able to priorities the work, but be flexible enough to cope with the demands of sometimes conflicting job elements ? Take initiative to ensure the smooth operation of the CEO office and maintain complete confidentiality in respect of client business and staff files ? Solid Secretarial / PA experience within a large service oriented organization, preferably the financial services industry ? Experience with evidence of having supported a busy personal and professional schedule of a senior manager who is frequently travelling ? Experience of working within a fast-paced pressurized and demanding environment ?
